How a purchase travels

One flow instead of WhatsApp threads and spreadsheets

PurchaseGate does purchasing control and nothing else, so there is no construction suite to learn.

  1. 01

    Request

Anyone on site raises a purchase request from their phone: project, supplier, itemised lines and an automatic total.

  2. 02

    Approval

It routes to the right approver. Nobody approves their own request, and higher amounts need manager and owner sign-off.

  3. 03

    Purchase order

Once approved, the purchase order is generated and can be exported as a PDF for the supplier.

  4. 04

    Delivery

Record what arrived. Partial deliveries are supported, and you cannot receive more than was ordered.

  5. 05

    Budget

Every step moves the project budget: awaiting order, open orders, received, and what is still available.

Rules built in

Controls that hold when the day gets busy

These are commitments the product enforces, not settings someone has to remember to switch on.

Self-approval is blocked
The person who raises a request can never be the one who approves it.
Bigger spend, more signatures
Higher amounts need both a manager and the owner to sign off.
Changes reopen approval
Edit an approved request and it goes back through approval.
No over-receiving
A delivery cannot exceed what was ordered. Partial deliveries and cancellations are supported.
One currency per company
Each company workspace works in a single currency, so budget totals always add up.
Company data stays separate
Audit history is protected and isolated per company, and permissions are enforced on the server.

Questions owners ask first

What does the pilot cost?+

The pilot price is US$1,499 per company per month. It includes 5 branches and 30 users. We start with paid pilots.

Does it work on a phone?+

Yes. PurchaseGate is built phone-first, so site staff can raise requests and managers can approve from their phones.

Can people approve their own requests?+

No. Self-approval is blocked, and higher amounts need both a manager and the owner to sign off.

Can we work in more than one currency?+

Each company workspace uses one currency, which keeps budget totals consistent.

Can other companies see our data?+

No. Audit history is protected and isolated per company, and permissions are enforced on the server.

Every purchase approved, ordered and tracked.

Replace the chats and spreadsheets with one record of who asked, who approved and what is left in the budget.
